This diverse and stimulating position plays a critical role in the organizational strength and public face of the Appalachian Trail Conservancy throughout the Northeast.
The Appalachian Trail in the Northeast is a highly diverse environment which spans 8 states across multiple ridgelines, river valleys, agricultural lands, extensive forests, and alpine summits, while traversing through settings as varied as developed communities on one end of the spectrum to remote backcountry and Wilderness Areas on the other.
The Office Manager for the Northeastern Regional Office serves a critical role in team support to ensure that regional staff has adequate support to work productively and efficiently. The Office Manager reports to and works closely with ATC’s Senior Regional Director – North. As an integral member of the Northeast Regional Office (NERO), the Office Manager (OM) also provides general office and technical support to a team of 7 conservation managers from Pennsylvania to Maine. The OM facilitates communication between ATC staff, volunteers and partners. The OM also works with ATC’s Director of Outreach and Education and Director of Volunteer Relations to support ongoing efforts and create new opportunities for A.T. Communities, youth engagement, and general Appalachian Trail visitor outreach and education. Furthermore, the OM works closely with the Grant Compliance and Administration Manager to assist the NERO team with all levels of grant support.

Essential Duties and Responsibilities
Northeastern Team, Project, and Office Support – Office Management
This portion of the position focuses internally and is essential to maintaining organization and open and timely communication within the Northeast Regional Office.
* Sets up and maintains cloud based and physical office organizational systems for shared documents and data; maintains office supplies and systems; maintains office calendar; maintains office inventory of publications and supplies for distribution to the public.
* Enters and manages office purchase orders in accordance with ATC accounting procedures; assists with annual ATC budgeting and expense tracking using system software.
* Assists with project budget management, drafting contracts, and tracking deadlines for federal and non-federal funded projects.
* Updates regional volunteer, partner, and donor directories. Assists with preparation of various mailings generated by regional staff;
* Assists with spreadsheet data presentation by generating summaries, charts, and graphs; edits, formats, and finishes draft documents prepared by ATC staff members for distribution to trail-management partners and the public.
* Coordinates regional staff and partnership meetings such as monthly staff meetings, the biannual Regional Partnership Committee, and annual A.T. Community Summit; assists with preparing and distributing meeting announcements, agendas, and supporting documents; participates in general staff meetings and activities; records and disseminates meeting minutes.
* Answers telephone calls, responds to a high volume of e-mail inquiries, and directs calls and inquiries to appropriate staff members as necessary; returns calls in the event of a staff member’s long-term absence; serves as initial contact and communicator for incident management in New England.
* Maintains computer and tech inventory and ensures back up of electronic data. Works with ATC IT Program Manager to troubleshoot any IT issues in the NERO region. Assists all NERO staff in applying technology that improves the efficacy of NERO operations.
* Assists with new hire orientation and communication.
* Ensures that office operations are energy efficient and tracks sustainability in overall operations
* Recruits and supervises office volunteers and/or interns to assist with administrative tasks.
* Performs other duties as assigned, including duties requested by ATC’s headquarters
Direct Support for Senior. Reginal Director- North
The Sr. Regional Director-North serves on ATC’s Leadership Team and is responsible for overseeing a team of 7 staff and addressing Trail management issues and threats, building partnerships, fundraising, and priority conservation initiatives and strategies from Pennsylvania to Maine. Travel is frequent and time consuming. The Office Manager is a key partner for ensuring smooth office and team function and reliability. Duties include but are not limited to:
* Scheduling travel
* Coordinating and scheduling meetings with ATC staff and partners
* Assisting with scheduling legislative visits with Congressional delegates for the annual Hike the Hill event in Washington, D.C.
* Initiating correspondence and following up with donors
* Assisting with the creation of public speaking event materials such as PowerPoint presentations
* Providing regular updates to the Senior Regional Director on regional communication priorities, tracking deadlines, and weekly schedule priorities
Outreach and Program Support
This portion of the position focuses externally and involves direct and creative collaboration with partners, volunteers, and the general public.
* Coordinates communications between ATC, agency partners, club volunteers, and A.T. stakeholders.
* Represents ATC at regional outreach events and recruits volunteers for event presence.
* Collaborates with volunteer leadership and regional partners to support programming, recruit participants, and develop curriculum,
* Assists the Director of Director of Education and Outreach in supporting the Appalachian Trail Communities in New England
* Assists with grant writing, reporting, and seeking new grant opportunities.
* Coordinates regional updates of ATC’s website.
* Coordinates annual volunteer and partner recognition.
* Supports organizational initiatives and campaigns through regional communication efforts.
* Bachelor’s degree or equivalent experience preferably in Liberal Arts, Communication, or Outdoor Recreation/Education
* 1-2 years administrative/office management experience
* Self-starter; comfortable working independently, taking on and managing multiple tasks while cultivating cooperation and effective communications
* Capable of working collaboratively with staff and partners in an energetic, optimistic, and team oriented working environment
* Has skills and successful experience working with people from a wide variety of ages, social and educational backgrounds
* A high level of demonstrated professionalism in verbal, written and electronic communications, including mobile devices
* Advanced proficiency in Microsoft 365 and Office Suite including PowerPoint and Excel, the Internet, and accounting and purchase order systems
* Editorial and proofreading skills with proven initiative and ability to manage competing priorities and define own workload while meeting deadlines
* Ability to organize, track and follow through to successful completion and report the details of several programs at once
* Ability to inspire cooperation among individuals, private groups, local, state and federal agencies
* Outdoor education experience
* Grant writing experience
* A working familiarity with the Appalachian Trail, hiking, trail maintenance, and resource management is highly desirable
* Experience coordinating and supporting volunteers
* Ability to communicate with individuals and groups by phone, email, video conference, written correspondence and in person
* Working on the computer or telephone for prolonged periods
* At times, may require the ability to lift or move light to moderate weight
* Ability to cheerfully hike for short to moderate distances on the Appalachian Trail while carrying moderate pack weight

* Occasional overnight and day visits to the Appalachian Trail on rugged terrain in varied weather conditions
* Some travel and evening and/or weekend work may be required throughout New England, Harpers Ferry, WV, and other locations on or near the Appalachian Trail
* Due to the Covid-19 pandemic, all NERO staff are currently working from home. This will be a requirement until it is safe to return to a shared office environment. While working from home: required technology will be provided by ATC. Access to reliable high-speed internet is a necessity.
* Candidates must have a home or location with secure and reliable internet access from which to work, preferably in the Upper Valley region of Vermont and New Hampshire.
* Flexible 30 hours/week with hourly wage and partial benefits
